Privacy notice

What we collect, why we collect it, how long we keep it, and how to get it deleted.

Who we are

6K Nepal Treks Pvt. Ltd. is the data controller for annapurnacircuittrek.co.uk. We are a Nepal-registered trekking operator at Buddha Chowk, Pokhara-10, Kaski 33700, Nepal, and we market directly to trekkers in the United Kingdom.

Because we offer services to people in the UK, we handle UK residents' data in line with the UK GDPR, even though we are based outside the UK.

What data we collect

Enquiry formName, email, phone number, country, rough dates, group size, and whatever you write in the message box
WhatsApp / Viber / SignalYour phone number and the content of your messages to us
EmailYour address and correspondence
BookingPassport details, emergency contact, insurance policy number, and any medical or dietary information you choose to tell us
Website analyticsAggregate, non-identifying usage data: pages viewed, approximate country, device type

We do not ask for card details by email or WhatsApp, and you should never send them that way. Deposits are handled by our payment provider through 6knepaltreks.com; we never see or store your full card number.

Medical and dietary information is special category data. We collect it only when you volunteer it, use it solely to run your trek safely, and share it only with the guide walking with you.

Why we use your data, and our legal basis

We do not use your data for automated decision-making or profiling, and we do not send marketing emails unless you ask to hear from us.

How we store your data, and for how long

  • Enquiries that do not become bookings, deleted after 2 years.
  • Booking records, kept for 7 years, as Nepali tax and tourism-licensing rules require.
  • Passport and permit data, deleted once your permits are closed out after the trek.
  • Medical information, deleted at the end of your trek.
  • WhatsApp threads, kept while you are an active enquiry or client, then cleared.

Access is limited to the people who need it: the office team handling your booking and the guide leading your trek. Accounts are password-protected and devices are locked.

Who we share it with

We never sell your data, and we never pass it to advertisers. It is shared only with:

  • Your guide and porter: name, dates, and any dietary or medical details relevant to your safety
  • Nepali permit authorities: the passport details required for ACAP and TIMS (see permits)
  • Teahouses: your name and dates, to hold rooms
  • Our payment provider: to take the deposit
  • Rescue and medical services: in an emergency, including your insurer and emergency contact

International transfers

Our office is in Nepal, so data you send us is processed there. Nepal is not covered by a UK adequacy decision. We rely on your explicit consent, given when you contact us about a trek in Nepal, and we apply the safeguards described in this notice: minimal collection, restricted access, and defined deletion periods.

Your rights under UK GDPR

You can ask us to:

  • Access: get a copy of everything we hold about you
  • Rectify: correct anything wrong
  • Erase: delete your data, unless we must keep booking records for tax law
  • Restrict: pause our use of it while a dispute is resolved
  • Port: receive it in a portable format
  • Object: to any processing based on legitimate interests
  • Withdraw consent: at any time, without affecting what was lawful beforehand

Email info@annapurnacircuittrek.co.uk with "Data request" in the subject. We respond within 30 days, free of charge. We may ask you to confirm your identity first, so we do not hand your data to someone else.

If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner's Office. We would rather you came to us first.

Cookies

This site is deliberately light on cookies. We use no advertising cookies, no retargeting pixels and no social trackers.

EssentialNeeded for the site to function. Cannot be switched off.
AnalyticsAggregate visit statistics, so we know which guides are useful. No individual identification.

Every modern browser lets you block or delete cookies. Blocking analytics cookies will not stop you using any part of this site.

Changes to this notice, and how to contact us

If we change this notice we update it here and change the date at the end of this notice. Material changes affecting people who have already enquired will be emailed.
